These Terms & Conditions apply to all tours booked directly with Copenhagen Memories ApS ("we," "us," "our"). By booking or participating, you ("guest," "you") agree to these Terms.

If you book through a third-party platform (e.g., GetYourGuide/Viator), that platform’s terms and cancellation policy may apply in addition to these Terms.

1. Bookings & Payment

By booking with Copenhagen Memories ApS, you agree to the following payment terms:

•  Your booking is confirmed once you receive a written confirmation and payment is completed (unless otherwise agreed).
•  Prices are shown in USD ($) unless stated otherwise.
•  If you pay using a different currency, your bank/card provider may apply exchange rates and fees. We are not responsible for currency conversion differences or charges applied by your payment provider.

2. Meeting Point & Punctuality

To ensure a smooth experience, please follow these meeting and arrival rules:

• Your booking confirmation includes the meeting point and start time.
• Please arrive 10 minutes early.
• If you arrive late, the Tour may start as scheduled. Late arrival may reduce your Tour time and may be treated as a no-show if you miss the departure.

3. Changes by the Guest (Rescheduling)

If you need to change your booking, the following applies:

• You may request a change of date/time. We will try to accommodate based on availability.
• If the new Tour has a different price, you may need to pay the difference (or receive a partial refund if applicable).

4. Cancellation & Refund Policy (24-hour policy)

• For all Tours booked directly with Copenhagen Memories ApS:
• Cancel 24 hours or more before the start time: 100% refund.
• Cancel less than 24 hours before the start time: no refund.
• No-show: no refund.

If you booked through a third-party platform (e.g., GetYourGuide/Viator), that platform’s cancellation policy applies.

5. Cancellation or Changes by Copenhagen Memories ApS

We may cancel or modify a Tour in certain situations:

• We may cancel or modify a Tour due to safety reasons, severe weather, road closures, official restrictions, guide illness, or events beyond our reasonable control.
• If we cancel and cannot offer a suitable alternative, you will receive a full refund.
• We are not responsible for costs you book separately (e.g., transport, accommodation).

6. Weather Policy

Bike tours typically run in rain and wind. We only cancel if conditions are unsafe. If we cancel for safety, we offer rescheduling or a full refund.

7. Safety Rules & Guest Responsibility

For your safety and the safety of others, you agree to the following:

• You must follow the guide’s instructions and applicable Danish traffic laws at all times.
• You are responsible for assessing your health and fitness to participate.
• You must be able to ride a bicycle safely in city traffic, including starting/stopping, turning, and riding in a group.
• For safety reasons, we may refuse participation (without refund) if a guest is intoxicated, behaves dangerously, or does not follow instructions.

8. Bikes, Equipment & Damage (If Included)

If your Tour includes a bike provided by us or a partner, the following applies:

• You are responsible for reasonable care during the Tour.
• You may be charged for damage caused by misuse, reckless riding, or ignoring safety instructions.
• Theft or loss caused by negligence may be charged where permitted by law.

9. Age Requirements

Age-related rules:

• Guests under 18 must be accompanied by an adult unless agreed in writing.
• Any minimum age/height requirements (if applicable) will be stated in the Tour description.

10. Photos & Marketing

Photos and videos:

• We may take photos/videos during Tours for marketing purposes (website/social media).
• If you do not want to appear in photos/videos, please tell the guide at the start of the Tour.

11. Accessibility

If you have accessibility needs (mobility, hearing, etc.), please contact us before booking so we can advise whether the bike tour is suitable.

12. Liability

Liability and responsibility:

• Participation is at your own risk. We are not liable for injury, loss, or damage caused by failure to follow instructions or laws, third parties (e.g., traffic/other road users), or conditions outside our reasonable control.
• Nothing in these Terms limits rights that cannot be limited under Danish law, including liability for gross negligence or intentional misconduct.

We process personal data (e.g., name, email, phone, booking details) to manage bookings and deliver our services. Please see our Privacy Policy (GDPR) for details.

14. Contact & Complaints

If you have an issue, please inform your guide during the Tour or contact us afterwards.

15. Governing Law

These Terms are governed by Danish law. Disputes will be handled by the courts of Denmark unless mandatory consumer rules apply.
